Post 3 Documenting a Day


    Word processors, spreadsheets, presentations, and database applications are used all over the world in many different fields of work, but all do their job just the same, even when handling different tasks. Even now for this assignment, I have used a word processor, a spreadsheet, a presentation, and will be using a database application when I submit my assignment.

    Word processors are used for a lot of different things, such as the assignment that I’m doing right now. The most common types of word processors are Microsoft Word and Google Docs. They allow you to write any amount of text and format it to your liking; they also allow the user to insert images or tables. These applications are also popularly used for their ability to assess word count and check your grammar. Most people use these applications for writing essays or other forms of papers that require a lot of written text. A disadvantage of Microsoft Word is that it is unable to handle any form of complex data or numbers, unlike a spreadsheet like Microsoft Excel.

    Spreadsheets are widely used as an application to organize and analyze data in the form of tables and graphs, but are not limited to only those two. The two most popular spreadsheet programs are Microsoft Excel and Google Sheets. These programs are incredibly helpful when it comes to storing information and categorizing it; they can also perform complex equations in the many different cells. A disadvantage of Microsoft Excel would be that it can be very complex to set up and manage, while also being complicated to learn.

    Presentations are used all over the globe due to their efficiency and ability to show information visually to many different people. Some of the most popular presentation applications are Microsoft PowerPoint and Google Slides Presentations are very easy to create and allow you to share vast amounts of text, images, animations, and even audio, unlike other applications. A disadvantage of presentations is that they cannot do data analysis or create documents like Microsoft Word or Microsoft Excel.

    Databases are used around the world mainly as a way to store immense amounts of information while also having the capabilities to manage it and retrieve it anytime when needed. The managers of databases can easily create and generate reports from the data extracted or perform queries on the data. Some popular database applications are Microsoft Access and MySQL. A disadvantage of databases is that they can be very difficult to set up while also requiring a prior understanding of database concepts to use.

    When doing my documentation about my day, I found that using Microsoft Word was the best application for me to use; it allowed me to give a title for each bullet point and accurately describe each of my tasks that I did during the day. Microsoft Word could be used in a scenario for somebody writing a job application. Microsoft Excel could be used in a scenario to keep track of stock in a warehouse or facility and automatically subtract the numbers when products leave the building. Microsoft PowerPoint could be used in a scenario for teachers to provide examples of what they’re teaching while also providing questions on the very next slide. Microsoft Access could be used to manage contacts or track inventory, similarly to how Microsoft Excel could.
